Reducing the time required to create explanatory materials for clients from three hours to one: How a 50-year-old tax accounting firm mastered using AI as a "highly efficient subordinate."
To Asahi Accounting Firm (Certified Public Tax Accountants)
Issues before implementation
- Digital utilization was limited to basic functions such as email, making the construction of an IT infrastructure suited to the times and the improvement of operational efficiency an urgent necessity.
- Due to the characteristics of the region, many of our clients are foreign business owners operating used car export businesses (yards), and we spent a considerable amount of time and effort explaining complex tax matters in languages such as Arabic and Persian.
- In response to frequent tax system changes, such as the invoice system, it was necessary to streamline information summarization and document creation while maintaining the quality of customer service.
Effects after implementation
- Through training, psychological barriers to AI were overcome. The use of AI shifted from simply replacing search functions to utilizing it as a "thinking partner," leading to a change in organizational mindset.
- By translating and summarizing documents, we were able to create explanatory materials in Persian and Arabic. Communication with foreign business owners became extremely smooth.
- Information on system reforms is summarized using AI. The time it took to create the outline for explanatory materials, which previously took 3-4 hours, has been reduced to 1-1.5 hours, improving work speed.

Company Introduction
Asahi Accounting Office is a tax accounting firm based in Yotsukaido City, Chiba Prefecture, that has been rooted in the local community for approximately 50 years. We provide comprehensive support to approximately 180 corporations and 100 sole proprietors in Yotsukaido and surrounding areas such as Sakura City, Chiba City, Ichihara City, Shiroi City, and Yachimata City.
Currently, in addition to supporting business succession, which involves the handover from founders to the next generation, we also act as a partner, supporting the sustainable development of local companies through services such as fundraising and business plan development.
Issues before introducing generative AI
For our firm, which has been deeply rooted in the Yotsukaido community for 50 years, the major turning point that led us to fully embrace digitalization came about two years ago. At that time, while a warm culture emphasizing face-to-face interaction was deeply rooted, many aspects of our practical processes remained analog, and our use of digital tools was limited to basic things like email communication.
As a company supporting the management of local businesses, we felt a sense of urgency to first embody DX ourselves, and we also faced pressing challenges unique to the region. We were searching for a "new way" to accurately and quickly communicate complex tax schemes to the many foreign business owners in the used car export industry in the surrounding area, overcoming language barriers.
Effects after generative AI introduction training
The introduction of training programs marked a significant turning point for our firm, going beyond mere search functionality.
Our greatest achievement is our ability to serve foreign business owners. Even in languages outside our expertise, such as Arabic and Persian, we can instantly convert materials into explanations tailored to the customer's native language using AI. This has facilitated smoother communication and deepened customer understanding and trust.
Furthermore, we have accelerated our information gathering on tax reforms. We use AI to summarize complex information such as the invoice system, quickly creating drafts of explanatory materials and reports for our clients. While maintaining strict vigilance against hallucination and ensuring that final checks are performed by humans, we are utilizing AI as a "highly capable subordinate," thereby improving the overall speed of our operations.
Future outlook
Currently, we automate data entry by utilizing the integration features of the accounting software itself. In the future, we aim to further integrate AI to automate "initial checks" where AI identifies calculation errors and omissions in advance, and to use it for management analysis such as comparisons with other companies.
As an accounting firm that can effectively utilize AI, we will increase our own productivity and dedicate the time saved to "dialogue time" to solve the management challenges of our clients. Armed with technology, we will launch a new era of accounting services, including support for the digital transformation of local companies, from Yotsukaido.
