"Standardization of proposal documents" achieved through co-creation with AI consultants: A system that allows anyone to create high-quality proposals.
CO Medical Co., Ltd.
Issues before implementation
- Document creation time: It required thinking about the structure and wording from scratch, which reduced the time that could be dedicated to sales activities.
- Document personalization: The content and structure varied depending on the person in charge, resulting in inconsistent quality.
- IT literacy: I had a negative attitude towards AI and was worried about whether I could really use it effectively.
- Cost: Because the AI tool used consumed credits with each trial and error, it was necessary to keep track of the remaining credits.
- Prompt: I struggled to write effective prompts to improve accuracy, and trial and error was necessary.
Effects after implementation
- Document creation time: AI-generated the first draft, significantly improving work speed.
- Personalization of materials: Prompt sharing improved the reproducibility of structure and expression.
- IT Literacy: Demonstrations and hands-on support fostered a sense of "I can use it myself."
- Cost: We conducted extensive trial and error using free tools beforehand and established an operation that minimizes the consumption of paid credits.
- Prompt: Through the support provided, the writing style became established within the company, and accuracy improved.

Company Introduction
CO Medical Co., Ltd. is a company that plans, develops, and sells products themed around beauty and health, such as corrective underwear, beauty supplements, and skincare products.
The company operates through a variety of channels, including e-commerce sites, physical stores, and wholesale, and is supported by many customers for its unique brand that combines functionality and design.
Our strength lies in our ability to handle everything in-house, from planning and marketing to sales and customer support, enabling us to make quick decisions and respond flexibly to changing customer needs.
Issues before introducing generative AI
Improving productivity was a major challenge in our sales activities. For example, a lot of time and effort was being spent on tasks such as the following:
- Daily creation of proposal documents
- Preparing to approach new customers
Although there was interest in generative AI, there were several hurdles to overcome before it could be fully implemented in practice.
"I don't know how to write prompts."
"If you don't use it properly, you'll end up wasting your credits."
Many people expressed concerns like these, and lacked confidence in their ability to use it effectively. Therefore, we began an initiative aimed at gradual adoption and establishment of AI, in collaboration with an AI consultant who possesses specialized knowledge in AI utilization.
Implementation steps and how to utilize the generation AI
✅ Step 1: Changing attitudes through a demonstration of document creation
First, a demonstration of AI-powered document creation using sales materials as the subject was conducted. Seeing the AI actually output a draft of the sales materials made many members feel, "This looks doable," and their anxieties gradually dissipated.
✅ Step 2: Eliminate reliance on specific individuals by sharing prompts.
To improve the accuracy of the output, proper prompt design is necessary. Therefore, we are improving the prompts through a brainstorming process with the support of an AI consultant. The quality of the output is improving, and the problem of "not knowing how to write the prompts" is gradually being resolved.
Furthermore, the development of a culture of sharing successful prompts has helped to reduce the personalization of documentation.
✅ Step 3: Cost optimization through the use of different tools
In terms of reducing creation time, the method of simply providing keywords and key points to AI to instantly generate document structure and draft text proved highly effective. Eliminating the need to consider structure and wording from scratch significantly reduced the burden of document creation.
Regarding cost concerns, we experimented extensively with the free Gemini tool and used GenSpark, which incurs credit consumption, only in the final stages. This approach allowed us to visualize and optimize our operating costs.
Now, beyond sales materials, voices from the field are naturally suggesting that "AI could also be used in sales lists and email content," and the use of AI for content generation within the company is beginning to shift from a "special measure" to a "standard practice."
Future outlook
In the future, we plan to increase the amount of data stored in the existing chatbot and NotebookLM, further improving searchability and practicality.
Currently, staff at some stores have begun to voluntarily use AI tools, and it is important to spread this movement throughout the company. By visualizing specific examples of staff using generative AI and sharing them among stores, we aim to raise the level of AI literacy and utilization throughout the company.
Ultimately, the company aims to foster a culture in which all employees "ask AI when they have a problem" and establish a cycle of continuous improvement in pharmacy operations.
