    Room Style Co., Ltd. is a real estate company headquartered in Tokyo. Its main business is the recruitment and management of rental properties, but it also operates sales and purchase brokerage and interior design-related businesses. The company also has a beauty-related department and is committed to providing lifestyle-oriented services such as salon management.

    Issues before introducing generative AI

    Before the introduction of generative AI, there was not enough understanding within the company about the use of generative AI, and some employees only used ChatGPT to assist with email composition. The image of it being used for image generation and simple text creation was prevalent, and there was no clear understanding of how to incorporate it into work, so its use by individual departments was not progressing.

    This situation changed dramatically when management became strongly impressed with the potential of generative AI at an external seminar. Selected members were then trained, and the full-scale implementation of AI began.

    Benefits of using generative AI

    The training helped them to properly understand the potential of AI and accelerated the incorporation of AI into their work. The most notable results were the streamlining of data collection work using Google Spreadsheets and NotebookLM.

    Troublesome tasks such as totaling invoice amounts can now be completed simply by loading the data into NotebookLM and instructing it to "total only specific items." This has significantly reduced the amount of work that previously had to be done manually. Furthermore, AI can automatically generate spreadsheet code, allowing even non-engineer employees to build automation tools, and in one case a task that previously took 90 minutes has been reduced to 10 minutes.

    In the real estate division, when a repair request is made, photos can be sent to AI to check the condition, enabling quick decisions to be made. In the beauty division, AI is being used in a wide range of areas, such as to improve the efficiency of LINE replies and automatically summarize internal interview records.

    Future outlook

    Room Style's future goals are to "standardize in-house knowledge" and "establish an immediate response business system."

    As part of this, the company plans to introduce bots for owners and tenants. For example, bots will automatically respond to inquiries about repair methods and how to use facilities, reducing the burden on staff and improving the quality of customer service. Bots are also being considered that can instantly retrieve accounting data such as payment history, accelerating the efficiency of management department operations.

    Furthermore, in collaboration with internal support roles, the company aims to create a structure that allows bots to directly access information sources, which is expected to eliminate dependency on individuals and reduce the effort required for training new employees.
